Privacy Policy

1. What this covers

This policy explains what information CodedStream collects when you use our website or any of our hosting services (email hosting, website hosting, WhatsApp Business hosting), and how we handle it.

2. Information you give us

When you sign up or subscribe, we collect your name, email address, phone number (optional), and any domain or company details you provide. If you add team members to your account, we collect their name, email, and the login password they choose (stored encrypted — we can't see it in plain text).

3. Service content

Email hosting: emails sent and received through your mailboxes are stored on our mail server so you can access them. We don't read their content except when needed to fix a technical issue you've reported.

WhatsApp hosting: messages, contact details, and media files exchanged through your WhatsApp number are stored so your team can view conversation history. These messages also pass through Meta's WhatsApp Business Platform, which has its own privacy practices as the messaging provider.

You can delete individual messages or bulk-delete old messages yourself from your dashboard at any time.

4. Payment information

We don't process or store your card details ourselves. Payments are handled entirely by our payment partner, Whop — we only receive confirmation that a payment succeeded, the plan and amount, and a reference ID to match it to your account.

5. Website analytics

Our marketing website uses lightweight, first-party analytics to understand which pages are useful — recording the page visited, the referring site, and a randomly generated identifier stored in your browser (not tied to your name or email unless you later create an account). We don't use third-party advertising trackers or sell this data.

6. Who we share data with

We share the minimum necessary data with:

• Whop — to process your payments and manage your subscription.

• Meta — as the underlying provider of the WhatsApp Business Platform, for WhatsApp Hosting customers.

We don't sell your personal information to anyone, ever.

7. How long we keep data

We keep your account data and service content for as long as your account is active. If your subscription ends and isn't renewed, your service is suspended but data isn't immediately deleted, giving you a window to reactivate. If you want your data permanently deleted sooner, contact us at support@codedstream.com.

8. Security

Passwords are stored using industry-standard one-way hashing (bcrypt) — nobody at CodedStream, including us, can see your plain-text password. Connections to our services use TLS encryption. We also run daily encrypted backups of all customer data.

9. Your rights

You can access, correct, export, or request deletion of your personal data anytime by emailing us. If you're an admin on a WhatsApp Hosting or Email Hosting account, you can manage most of this yourself directly from your dashboard (team members, mailboxes, message history).

10. Changes to this policy

If we make a material change to this policy, we'll update the date at the top of this page and, for significant changes, notify active customers by email.
